3. Our Project Management Approach

At QuantumLeap Instructionals, our project management methodology provides comprehensive and effective services for full life cycle management of your project. We tailor our project management approach through previous lessons-learned and apply our unique standards of innovation throughout the lifecycle of the project to maximize return on investment with a continued focus on quality.

3.1. Project Manager

Our project manager, Louis Lovestrand, leads the execution of the project. Mr. Lovestrand has worked on multiple IMI and e-learning training initiatives modernizing training over the past 11 years, including the SAILOR 2025 Ready Relevant Learning (RRL) Program for the US Navy. His successful efforts have been lauded by prior customers and he possesses a full range of both hard and soft skills.

3.2. Project Manager Role and Responsibility

In the section below, we provide a breakdown of project management services we provide during the project life cycle. Our process has garnered success for our customers across a range of requirements with projects completing on time and within budget.

3.2.1. Initiation.

Project activities formally “kick-off” as we meet the team and identify high-level project information. We focus on establishing strong team relationships to foster a sense of camaraderie. The project initiation phase is comprised of the following activities:

  1. Initial project assessment of project goals, constraints, assumptions, and scope.
  2. Confirm completion of the project charter and facilitate completion if needed.
  3. Conduct the Project Kick-off meeting to make team introductions, review project goals, identify high-level risks, and present project milestones.
  4. Perform stakeholder analysis to understand the influence and impact of stakeholders.
  5. Enter all identified risks into the risk register.
3.2.2. Planning.

During the second phase, we work on planning documents that apply during the project life cycle. These documents help guide the approach in execution of all project phases. Our planning process involves foresight and a deliberate planning approach to avoid delays and prevent cost overruns. During the planning phase, work begins with:

  1. Project Management Plan – Describes all management phases of the project effort.
  2. Work Breakdown Structure – Organizes the project scope into deliverables.
  3. Project Plan/Schedule milestones, tasks, activity durations/dates, and resources.
3.2.3. Execution.

This phase covers all project work, resources, and schedule. We manage project execution and apply experience to direct innovative and efficient work performance, thereby keeping the project on schedule and within budget. The execution phase includes:

  1. On-board and integrate any new team members hired specifically for this project.
  2. Conduct recurring project status meetings discussing progress, issues and/or risks.
  3. Distribute weekly status reports advising of progress made, tracking milestones/goals, and forecast what is expected to be accomplished during the following week.
  4. Provide daily project plan updates ensuing progress reflected on a continuous basis.
  5. Direct project work ensuring all project resources are clear on tasks assigned to them.
  6. Process, review, and implement approved change requests.
  7. Implement risk management responses and actions as per the Risk Management Plan.
  8. Ensure the Quality Management Plan is followed while validating that project work meets or exceeds expectations outlined by you, our customer.
3.2.4. Monitor and Control.

The fourth phase involves project monitor and control activities that we perform throughout the life cycle of the project. We pride ourselves on continuously focusing on these activities ensuring all defined plans and policies are employed as intended with measurable metrics. The activities listed below make certain the project is progressing towards the goal and all work is conducted in accordance with the project management plan:

  1. Measure progress of the project by utilizing project management software and evaluate the current project schedule against the project baseline.
  2. Update the risk register/risk management plan and mitigation strategies.
  3. Ensure all project deliverables meet the quality standards described in the quality management plan and that all project processes/workflow are aligned to that end.
  4. Update the project budget and scope based upon any approved changes.
3.2.5. Project Closure.

During the final step, we lead the project closure process. We ensure all project lessons learned, documentation, and artifacts are methodically maintained as a guide for future projects of a similar nature. We share these with our clients as part of our out brief. During project closure, we formally wrap up project activities by:

  1. Executing a transition plan to transfer all knowledge to designated personnel.
  2. Publishing a lessons-learned document to highlight what went well during the execution of the project and what areas might be improved upon in future endeavors.
  3. Archiving all project documents in a file repository via multiple media options.
  4. Receiving final sign-off on all project work from designated parties.
  5. Releasing the project team.
